Conference & Awards Committee

Would you like to volunteer your time for the landscape architecture profession, but cannot commit to a role on the Executive Committee? Please consider joining the Conference and Awards Committee!  

The Conference and Awards Committee will plan two annual events, the NCASLA Conference on Landscape Architecture and the NCASLA Awards Gala. Becoming a part of this committee is a time-limited task force with a clear mission, set of goals, and priorities.  NCASLA encourages involvement by all members, inclusive of all backgrounds, skillsets, and experience as we strive to achieve diverse representation from across the state and industry. Our goal is to continue to develop a team of professionals that can collaborate to bring NCASLA members two engaging and exciting events. Participating on this committee has the potential to provide you with unique networking and collaborative experience as you continue to influence the environment around us.

Conference & Awards Gala Planning Teams

Conference Management (Chair)

·         Generate Planning Schedule. Coordinate communications schedule with Marketing Management and NCASLA Communications Committee

·         Manage committee members and ensure all tasks are completed on time and under budget.

·         Accept full responsibility for all events, activities, and hiccups. Support day of event managers, step in when necessary and only as appropriate

Awards Management (Member-at-Large Awards)

·         Generate Planning Schedule. Coordinate communications schedule with Marketing Management and NCASLA Communications Committee

·         Manage committee members and ensure all tasks are completed on time and under budget.

·         Accept full responsibility for all events, activities, and hiccups. Support day of event managers, step in when necessary and only as appropriate

Administration and Budget (Executive Director and Chair)

·         Manage Registration and Marketing schedule

·         Coordinate Program/Session, Sponsorship, Exhibitor proposals and applications

·         Manage Venue selection, Budget, and Event Schedule

 

Venue management (Executive Director and 1 Committee Member)

·         Manage Venue, Social Events, and Catering

·         Coordinate individual session needs

 

Exhibitor and Sponsor Management (Chair, Sponsorship Committee Representative, & 1-2 Committee Members)

·         Manage Exhibit Hall

·         Work with Sponsorship Committee and Recruit Exhibitors

·         Manage Communications with all Sponsors and Exhibitors

·         Collaborate with Venue Management team to coordinate Exhibitor Needs

·         Collaborate with Marketing Management Team developing print and digital marketing materials

·         Ensure all Sponsorship Benefits are received

Program/Session Management (2-3 Committee Members)

  • Manage/organize conference theme and session tracks

  • Coordinate Call for Session Proposals, oversee session selection, and notify presenters

  • Coordinate Keynote Speaker recruitment, selection, and contracting

  • Coordinate session details, materials, and presenter information with Marketing Management and CEU Management teams

  • Review and approve speaker/session identification on all print and electronic media

  • Coordinate with Reception Management to ensure all presenters’ venue needs are met, including audio/visual

Continuing Education Management (1-2 Committee Members)

  • Coordinate continuing education credit approval process and maintain required materials

  • Facilitate quizzes and course affidavits as necessary

  • Submit for continuing education credit – Post Event

  • Manage session archives as necessary – Post Event

 Marketing Management (1-2 Committee Members)

  • Coordinate conference logo preparation and approval

  • Coordinate conference marketing calendar

  • Coordinate event program/brochure and NCASLA presentation materials

  • Provide newsletter contributions to NCASLA Communications Committee.

  • Coordinate and execute Communications Schedule with Chair and NCASLA Communications Committee.

Reception Management (Executive Direction, 1-2 Committee Members)

·         Coordinate Venue Event Spaces

  • Prepare and facilitate session registrant feedback

·         Develop and organize vendor/exhibitor interactive activities

·         Coordinate event prizes and silent auction

Day of Volunteers (TBD)

·         Assist with Attendee Registration

·         Provide support to Committee Members as needed
